These terms apply specifically to AI-driven features in GreenKhata — including voice-to-text billing, smart suggestions, auto-categorization, and machine-learning capabilities. Read them together with our Terms of Service and Privacy Policy.

01Scope
These AI Terms govern your use of artificial intelligence capabilities offered within GreenKhata, including voice billing assistance, smart suggestions, fuzzy product search, auto-classification, and related automation features. These terms apply in addition to our Terms & Conditions and Privacy Policy.
By enabling or using AI features, you authorize GreenKhata Technologies Pvt. Ltd. and approved service partners to process relevant inputs such as text, voice snippets, contextual metadata, and usage signals for product operation, quality improvements, and safety monitoring.
02Nature of AI Outputs & Disclaimer
AI outputs are probabilistic and may be incomplete, outdated, or incorrect. Suggestions, generated text, and inferred values are provided for convenience and do not constitute legal, tax, accounting, or compliance advice. AI outputs are not a substitute for professional judgment.
You remain solely responsible for validating invoice fields, tax classifications, customer account balances, payment entries, and statutory filings before final use. Automated suggestions can fail in noisy environments, accented speech, mixed-language input, or ambiguous product names.
03Human Oversight
GreenKhata is designed for human-in-the-loop operation. Users should review and confirm outputs before sending invoices, recording transactions, or sharing business records with third parties.
High-impact actions, including financial reconciliation, GST-related reporting, credit decisions, and dispute handling, should be subject to manual verification by an authorized user or your internal compliance process.
04Your Responsibility
You are responsible for the legality, accuracy, and rights associated with all data submitted for AI processing. You must ensure that your use of AI features complies with applicable contractual obligations, privacy laws, labor laws, and tax regulations in your operating jurisdictions.
You must not rely on AI suggestions as final records without proper review. Where required by law, you are responsible for notifying customers, employees, or other data subjects that AI-enabled tools are being used.
05Acceptable Use & Fair Usage
You may use AI features only for legitimate business workflows connected to billing, inventory, accounting support, and customer operations. Abuse, automated scraping, adversarial prompt attacks, or attempts to reverse engineer models are prohibited.
We may apply fair-use limits on API calls, inference volume, audio duration, and rate of requests to protect platform stability and prevent misuse. We reserve the right to throttle, suspend, or disable AI features where unusual behavior, security risk, or policy violations are detected.
06Voice & Audio Data
Voice billing functions may process spoken inputs to generate draft line items, quantities, and invoice notes. Depending on configuration, audio may be transiently buffered, converted to text, and retained for troubleshooting, quality assurance, fraud prevention, and service improvement.
You should avoid speaking highly sensitive data unless operationally required. If your jurisdiction requires consent for voice capture, you must obtain and document such consent before recording or processing third-party speech.
07Data Used for AI
Data used for AI processing may include prompts, invoice text, catalog metadata, language preferences, acoustic features, and model feedback events. We apply proportionate safeguards including access controls, transport encryption, and retention controls.

08Third-Party AI Providers
Certain AI functions may rely on external providers, including OpenAI and other specialized model or infrastructure partners. Processing may occur on managed cloud infrastructure under contractual and technical controls selected by GreenKhata Technologies Pvt. Ltd..
Third-party providers may update model behavior, moderation logic, latency profiles, and supported capabilities over time. We do not guarantee uninterrupted availability of any specific third-party model variant or output style.
09EU AI Act & Transparency (2026)
For users operating in or serving customers in the European Union, we aim to support transparency-aligned practices under the evolving 2026 EU AI Act implementation landscape, including disclosures where users interact with AI-generated or AI-assisted outputs.
You remain responsible for classifying your own use case risk profile and meeting sector-specific obligations, especially where AI outputs inform regulated business decisions. GreenKhata is offered as a configurable productivity tool, not as a standalone automated decision-making system.
10Model Changes
We may add, remove, or replace models and supporting AI services to improve safety, quality, language coverage, compliance, cost efficiency, or reliability. Such changes can alter wording, confidence, output structure, and error patterns.
Where materially relevant, we may publish release notes or update this policy. Continued use of AI features after changes indicates acceptance of updated behavior and terms.
11Limitations of Liability
To the maximum extent permitted by law, GreenKhata Technologies Pvt. Ltd. is not liable for losses arising from reliance on AI outputs without independent verification, including bookkeeping errors, compliance penalties, delayed filings, inventory mismatch, or business interruption.
In no event shall AI features be treated as guaranteed-accurate advisory systems. Liability, where not legally excludable, remains subject to limitations set out in the Terms & Conditions.
12Compliance & Emerging AI Regulations (India MeitY/NITI)
AI governance expectations in India continue to evolve through directions, advisories, and policy frameworks from MeitY, NITI Aayog, and other competent authorities. We monitor developments and may adjust controls, transparency disclosures, and user settings accordingly.
You are responsible for evaluating whether your deployment context triggers additional obligations under sectoral rules, consumer law, competition law, financial regulations, or contractual audit requirements.
13Updates
We may revise these AI Terms periodically to reflect technological improvements, legal requirements, security standards, and product changes. Updated terms become effective when posted on this page unless a later date is specified.
Your continued use of AI features after an update constitutes acceptance of the revised terms. If you do not agree, discontinue AI feature usage and contact support for account-level guidance.
